At Funding Asia Group ("FAG" OR “Funding Societies”), we respect your personal data and we strive to ensure that your personal data is protected. The security of your personal data is important to us and we shall maintain appropriate physical, technical and organisational measures needed to ensure the security and confidentiality of your personal data. This Recruitment Privacy Notice (“Privacy Notice”) outlines Funding Asia Group and its affiliates practices for collecting, storing, processing, disclosing your personal data as part of the recruitment process

1. Collection of Personal Data
1.1 Personal Data that we collect from you directly includes but not limited to:

• Information that you provide when you apply for a job opening. This can include information provided through Funding Societies’ Career Site, external job portals, via email, in person at interviews and/or events, and/or any other methods.

• Personal Data such as name, email address, correspondence or home address, phone number, educational background, information relating to your employment history, skills and experience, details of the type of employment you are or may be looking for, current or desired salary, and other terms relating to compensation and benefits packages, willingness to relocate, and other job preferences, as you may provide to us.

• A record of your progress through any hiring process that we may conduct.

• Information relating to any previous applications you may have made to us and any previous employment history with us.

• Details of your referees, emergency contacts, next-of-kin, spouse and other family members as you may furnish. Where you provide the Personal Data of other individuals (such as referees, emergency contacts, and your next-of-kin) to us, it is your responsibility, to notify these individuals of the relevant Purposes and our processing of their information, and obtaining their consent before making such disclosure.

• Details of your visits to our Career Site including, but not limited to, traffic data, location data, weblogs and other communication data, the site that referred you to our Career Site and the resources that you access.

1.2 We may collect your Personal Data from other sources. Such sources include but not limited to:

• Our employee who recommends you as a candidate for a specific job opening

• Third-Party Service Providers such as recruitment partners who may recommend you as a candidate for a specific job opening

• A record of your assessment responses and results, if you complete any skills the assessment provided by us and/or a Third Party Service Provider.

• Academic institutions (universities, colleges, etc.), previous employers and your referees in validating information you have provided

• Reference information and/or information received from background checks (where applicable), conducted by third parties

• Other publicly available sources that you have published your Personal Data on, such as LinkedIn and other social media platforms.

2. Usage of Personal Data

We may utilise and/or process your personal data for the following purposes:

• To communicate with you about your job application and potential future job opportunities

• To administer, support, and manage the job application process

• To search for suitable candidates either via our internal recruitment resources or by using third parties

• To select the best candidate for a specific position based on the job description

• To conduct pre-employment background checks, as permitted or required by and in accordance with local law;

• To foster our diversity and inclusion programs and practices;

• To maintain records in relation to recruiting and hiring

• To store your data when an application has been made on your behalf (including by a referral or a recruitment agency)

• To comply with applicable legal or regulatory requirements, where necessary

• To manage the performance of our recruitment process

• To protect our legal rights, including in the course of legal proceedings, obtaining legal advice, and establishing or defending legal claims

• To utilise the same for strategic alliances, cross selling, marketing, and promotions

• For other purposes as described to you at the time we collect your personal data.

3. Disclosure of Personal Data

Your personal data may need to be disclosed to the following parties:

• Internally, to Funding Societies team members, contractors, and vendors who require the information to administer and manage the recruitment process

• To third-party service providers which process personal data on our behalf to provide certain services, such as background checks

• To third-party service providers which provide us with services to store and manage applications, schedule interviews, and perform technical assessments of applications

• To third-party recruitment agencies if your profile was originally provided by them

• To third-parties with whom you instruct us to share your personal data;

• We may share your personal data if we believe it is reasonably necessary to comply with valid legal process (e.g., subpoenas, warrants) or protect the rights, property, or safety, of Funding Societies, our employees, or users;

4. Retention of Personal Data

• If you are offered and accept employment with us, the information collected during the application and recruitment process will become part of your employee record.

• If your application is unsuccessful (or you withdraw from the process or decline our offer), we may nevertheless continue to retain and use your personal data for a reasonable period of time thereafter for system administration purposes, to consider you for potential future roles, and to perform research.

5. Consent and Acknowledgement

By providing us with your Personal Data, you hereby consent to the usage, processing and/or disclosure of your Personal Data in accordance with this Privacy Notice.

6. Your Rights and Choices

You may access, correct, or delete your personal data at any time unless you are hired as an employee of FAG and if there is a reason for FAG’s retention of the personal data of which reasons of doing so will be communicated to you. You may also withdraw your consent, or object to the processing of your personal data when based on our legitimate interests. Any queries, requests, concerns, complaints or exercise of your rights regarding the use of your Personal Data may be raised through recruitment.privacy@fundingsocieties.com
